Event Manager

Reporting to the Head of Event Operations, the Event Manager plays a key role in the successful delivery of everywoman events.

The Event Manager will have operational responsibility for the delivery of selected Awards programmes, conferences, everywomanClub events and Forums. They will manage relationships with speakers, delegates, sponsors, award finalists, table sponsors, suppliers and coordinate all onsite activities at everywoman events.

Events are at the heart of what we do, therefore we are looking for a passionate and experienced Event Manager, to manage and deliver high quality events within the required time frames and in line with everywoman’s high quality standards.

 

Key Responsibilities

Conferences/Forums
  • Maintain an ongoing project overview.
  • Maintain up-to-date records and files for each event.
  • Work with Head of Events to ensure that all events are within budget.
  • Event registration:
    • All delegate correspondence.
    • Maintain the invite list.
    • Manage delegate numbers.
  • Manage and brief external contractors relevant to the event e.g. film production, photography, stage-set, audio visual and exhibitor stands.
  • Manage food and beverage requirements
  • Manage Venue Brief
  • Produce banners, signage and display boards when required.
  • Produce printed literature including delegate/speaker lists, brochures, handouts and evaluation forms.
  • Create event presentations (PowerPoint).
  • Liaise with sponsors for event deliverables as agreed; web/brochure statements, logos.
  • Liaise with speakers/trainers regarding contracts, assignment schedules, requirements, presentations and handouts and on the day briefing documents.
  • Brief speakers/trainer to ensure workshops and training sessions are conducted in accordance with everywoman standards.
  • Manage on-the-day logistics, including presentation, rehearsals and managing a registration team
  • Manage Post Event Communications and Debrief
Awa​rds
  • Awards nomination process – maintain files, confirmation emails and all related queries.

  • Correspondence with judges/finalists in relation to the awards schedule, judging process, interview dates, biographies and photos.
  • Oversee Awards Judging Days – preparing judges packs, onsite materials.
  • Create related event materials such as evaluation forms, PowerPoint presentation templates, briefing documents, delegate lists and exhibition flyers.
  • Manage and brief external contractors relevant to the event e.g. film production, photography, stage-set, audio visual and exhibitor stands.
  • Manage Venue Brief

  • Create Awards presentations (PowerPoint).
  • Liaise with sponsors for event deliverables as agreed; web/brochure statements, logos.
  • Liaise with speakers, awards presenters, Awards compere, entertainment and brief on the day
  • Manage on-the-day logistics, including presentation, rehearsals and managing a registration team
  • Manage Post Event Communications and Debrief

 

Skills

  • 2-3 years event coordination/management experience
  • Experience with Awards programmes
  • Excellent communication skills both verbal and written
  • Strong administrative skills
  • Strong project management skills
  • Strong negotiating skills
  • Experience of Adobe InDesign/Photoshop is desirable
  • Advanced proof-reading skills
  • Advanced Word, Excel and PowerPoint
